Privacy Policy
What data OWLine collects, and how it's used.
This Privacy Policy explains what data OWLine ("we", "us", "our") collects when you use our Discord bot, website, and related services (the "Service"), and how we use it.
1. What We Collect
To provide the Service, we store:
- Discord identifiers: server (guild) IDs, channel IDs, role IDs, and user IDs needed to operate features like moderation, leveling, invite tracking, and reaction roles. We do not store your Discord password or authentication tokens — Discord handles authentication.
- Configuration data: settings you or your server's admins choose (feature toggles, welcome messages, logging channels, etc.)
- Usage data: command usage, error logs, and aggregate statistics used to operate and improve the Service
- Country-level location data: when you visit our website or log into the dashboard, we determine your country from your IP address using our hosting provider's geolocation (Cloudflare). We store only the resulting 2-letter country code — we never store your actual IP address. This is used to show aggregate statistics like "OWLine is used in X countries" and is never used to identify you individually.
- Premium/purchase records: which servers have an active premium subscription, when it was granted, and through which method (payment, redemption code, etc.) — we do not store your full payment details (card numbers, etc.); those are handled entirely by our payment provider (see Section 3)
2. How We Use It
We use this data solely to:
- Operate OWLine's features in your server
- Diagnose and fix bugs
- Detect abuse and enforce our Terms of Service
- Communicate service announcements, changelogs, or status updates if you've subscribed to receive them
We do not sell your data to third parties, and we do not use it for advertising.
3. Cookies & Session Data
Our website and dashboard use a small number of cookies and similar technologies:
- Dashboard session cookie: when you log in to the OWLine dashboard via Discord OAuth, we set a session cookie so you stay logged in. This cookie is required for the dashboard to function and is not used for advertising or cross-site tracking.
- Anonymous website analytics: page visits to our landing website may be counted in aggregate (by country, not by individual visitor) to understand our overall reach. This does not use tracking cookies and is not tied to any Discord account unless you're also logged in (see Section 1).
We do not use third-party advertising or cross-site tracking cookies.
4. Third-Party Services
We rely on a small number of third-party services to operate OWLine:
- Discord — the platform OWLine operates on; see Discord's Privacy Policy
- Our payment provider — processes purchases of OWLine Premium as merchant of record. They receive whatever payment/billing information is needed to process your transaction (e.g. email, card details); we never see or store your card details ourselves.
- Hosting providers — our bot and database run on third-party infrastructure providers who may process data on our behalf as part of running the Service
5. Data Retention
We retain data for as long as needed to provide the Service, or as required by law. If OWLine is removed from your server, configuration data associated with that server is retained for a limited period in case you reinstall, and then deleted or anonymized.
6. Your Rights
Depending on your location, you may have rights over your data — including the right to access, correct, delete, or request a copy of your data, and to withdraw consent for processing that relies on it. To exercise any of these, contact us (Section 8). Some data (e.g. moderation logs required for active enforcement actions) may be retained longer where necessary for security or legal reasons.
If you are located in the European Union or United Kingdom, these rights are protected under the GDPR and apply in addition to, not instead of, the rights described above.
7. Children's Privacy
OWLine is intended for use in accordance with Discord's own age requirements. Per Discord's Terms of Service, Discord is not intended for users under the age of 13 (or the applicable minimum age in your country, which may be higher). We do not knowingly collect data from anyone under that minimum age, and country-level location data (Section 1) is never used to identify or target users by age.
